Festival Coordinator

Position Overview

Shakespeare on the Saskatchewan (SOTS) is seeking a Festival Coordinator (FC) for a ten-month, training-focused internship funded through Young Canada Works – Building Careers in Heritage (YCW BCH). This role offers a comprehensive introduction to the full lifecycle of a major cultural festival, from early planning through live delivery to post-season evaluation, under the mentorship of senior leadership.

A core focus of this position is supporting front-of-house operations, service excellence, and earned revenue systems across box office, concession, and merchandise. The Festival Coordinator will help foster a culture of preparation, efficiency, and welcoming service—recognizing that clear communication, smooth service flow, and thoughtful guest interactions enhance both the audience experience and the sustainability of the organization. This role emphasizes the connection between service delivery, operational systems, and revenue generation in a live event environment.

Key Responsibilities (Training Provided)

Working closely with the Executive Director and staff team, the Festival Coordinator will contribute to the following areas:

Festival Planning & Administration

  • Support work plans, timelines, documentation, and operational coordination across departments
  • Assist with meetings, scheduling, vendor coordination, and office workflows
  • Maintain accurate, organized digital records and shared documentation

 

Digital Systems & Reporting

  • Support ticketing and POS systems (setup, troubleshooting, reporting)
  • Assist with daily reconciliation and reporting during the Festival season
  • Maintain device logs, inventory tracking, and system documentation

 

Volunteer & Seasonal Staff Support

  • Support recruitment, onboarding, training, scheduling, and communications for volunteers and seasonal staff
  •  Support training delivery and help ensure consistency in front-of-house practices
  • Act as a point of coordination between teams during peak operational periods

 

Front-of-House Operations & Guest Experience

  • Coordinate box office, concession, and merchandise operations in collaboration with the front-of-house staff team
  • Support planning and execution of peak service periods (including intermission flow and staffing coordination)
  • Contribute to a welcoming, efficient, and guest-focused environment across all public-facing areas
  • Reinforce service practices that enhance both patron experience and earned revenue outcomes
  • Support front-of-house leadership (Senior Festival Ambassadors) by helping ensure clear communication, preparedness, and consistency across shifts

 

Special Events, Donor Support & Community Engagement

  • Support coordination and delivery of special events and outreach activities
  • Assist with donor communications, database coordination, and campaign support

 

Evaluation & Reporting

  • Coordinate data collection, surveys, and feedback tracking
  • Support post-festival evaluation, reporting, and grant preparation

 

Who Should Apply:

Eligibility Requirements: This position is funded in part by the Young Canada Works – Building Careers in Heritage program.

To be eligible, applicants must:

  • Be a Canadian citizen, permanent resident, or have refugee status in Canada

  • Be legally entitled to work in Canada and have a valid Social Insurance Number

Schedule & Work Environment

  • Mix of office-based and on-site work over the 10-month term:
  • Evening and weekend site work primarily occurs during the July–August festival season
  • The remainder of the work term is typically scheduled Monday–Friday during daytime hours
  • Occasional evening and weekend shifts are required for special events outside of the festival season
  • Periods of standing/walking and light-to-moderate lifting
  • Must obtain or hold a Serve It Right Saskatchewan (SIRS) certificate

 

Preferred Qualifications

  • Experience in customer service, retail, hospitality, or event environments
  • Experience with cash handling and POS systems
  • Interest in arts administration, business, or event operations

 

Additional Assets

  • First Aid or safety training
  • Valid driver’s license and access to a vehicle

Senior Festival Ambassador

Position Overview

Shakespeare on the Saskatchewan is seeking confident, reliable, and enthusiastic individuals to join our team as Senior Festival Ambassadors (SFAs). SFAs are front-line leaders within the Festival team and play a key role in creating a welcoming, safe, and engaging environment for patrons, volunteers, artists, and fellow staff. 

Working closely with the Executive Director, Festival Ambassadors and site team leadership, this role supports day-to-day operations including patron services, concessions, front-of-house leadership, audience experience, special events, and general site readiness. SFAs help guide service flow across the site while supporting strong communication, operational efficiency, and positive guest experiences. Training is provided, and there are opportunities to develop valuable leadership, hospitality, sales, customer service, and event operations skills throughout the season.  

Senior Festival Ambassadors help lead the atmosphere that makes the festival a memorable gathering place for the community each summer.

This is a hands-on, public-facing leadership role ideal for someone who:

Production Assistant

Shakespeare on the Saskatchewan (SOTS) is seeking a motivated and detail-oriented individual to join our production team as a Stagehand. 

Working closely with the Production Manager and Stage Management team, the Stagehand supports the day-to-day technical and backstage operations of the Festival. This role plays an important part in helping performances, rehearsals, and special events run safely, smoothly, and efficiently. 

The Stagehand helps support the backstage environment that makes the festival a memorable gathering place for artists, audiences, and the community each summer. 

This role provides hands-on experience in live event operations, backstage coordination, and technical production within a fast-paced outdoor performance environment. 

This is a hands-on role ideal for someone who: 

  • enjoys working behind the scenes  
  • thrives in fast-paced live environments  
  • enjoys practical, physical, and technical work

Working closely with the production and festival site teams, the Production Assistant supports the setup, operation, and coordination of technical production systems, backstage operations, special events, and site activities throughout the festival season. 

This role helps support the behind-the-scenes operations that make the festival a memorable gathering place for artists, audiences, and the community each summer. 

This is a hands-on role ideal for someone who: 

  • enjoys practical and technical work  
  • thrives in fast-paced live environments  
  • enjoys working behind the scenes  
  • is interested in live events, production, theatre, or festival operations  
  • and wants to gain experience in professional performance and event environments  

Training is provided, and there are opportunities to develop valuable technical, operational, teamwork, and live event production skills throughout the season. 

Key Responsibilities 

Technical & Production Support 

  • Support venue setup and takedown, including transportation and assembly of sets, props, costumes, staging, and technical equipment  
  • Assist with the setup, operation, and maintenance of lighting, sound, AV, and backstage systems

Position Overview

The Festival Operations & Site Assistant supports the day-to-day readiness, safety, and presentation of the Shakespeare on the Saskatchewan festival site during the summer season.

This role plays an important part in preparing the space for performances and events, helping ensure the site is welcoming, functional, and performance-ready for both audiences and artists.

Working closely with front-of-house and production teams, this position provides hands-on experience in outdoor event operations, venue setup, logistics, and festival site management. This is an ideal role for someone interested in live events, site operations, production environments, or hands-on operational work in a dynamic outdoor setting.

Key Responsibilities

Site Operations & Readiness

  • Prepare and maintain public spaces to ensure a safe, welcoming, and functional environment
  • Support daily site setup and reset for performances and events
  • Assist with waste management, cleanliness, and upkeep of high-traffic areas

 

Event & Production Support

  • Assist with setup for performances, special events, and rentals

Preferred Qualifications

  • Experience in facility operations, event setup/teardown, or general site maintenance

  • Experience supporting outdoor events, festivals, or recreational spaces
  • Ability to work independently and take initiative in a dynamic environment

 

Additional Assets

  • First Aid/CPR certification
  • Basic safety training (e.g., WHMIS or equivalent)
  • Valid driver’s license and access to a vehicle
 

Additional Requirements

  • Availability for evenings and weekends, particularly during peak event periods
  • Ability to work outdoors in varying weather conditions for extended periods
  • Ability to lift, move, and set up equipment (moderate physical demands)
  • Commitment to following health and safety protocols and contributing to a safe work environment

 

Eligibility Criteria

  • Be under 30 years of age at the start of employment
  • Be a Canadian citizen, permanent resident, or a person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act
  • Have a valid Social Insurance Number (SIN) and be legally entitled to work in Canada. (International students are not eligible)

Sir Toby's Special Event Servers

Position Overview

Shakespeare on the Saskatchewan (SOTS) is seeking casual Special Event Servers to support occasionally special events including music festivals and other public or ticketed events on our riverbank site this summer.

Working out of Sir Toby’s Tavern, this role is ideal for individuals who enjoy a fast-paced, team-oriented environment and take pride in delivering a positive guest experience.

We value reliability, professionalism, teamwork, and positive patron interactions.

Event Information

  • June 20 estimated shift: 3:00 pm – 11:00 pm (includes setup and wrap-up)
  • Additional events anticipated in late August and early to mid-September

 

Key Responsibilities

Prep & Set-Up

  • Assist with bar and concession setup at Sir Toby’s Tavern
  • Stock product and organize service areas
  • Set up temporary outdoor service stations (e.g., shot bar, express line)

 

Service

  • Serve beverages and concession items from Sir Toby’s Tavern
  • Support additional outdoor stations, including:
    • Express line (canned beer, cider, pop, water)
    • Shot bar (as applicable)
  • Process transactions using Square POS
  • Contribute to a welcoming, efficient and positive guest experience

 

Wrap-Up

  • Clean and close service areas
  • Restock product and assist with site reset

 

Compensation & Perks

  • $20/hour + tips

Shakespeare on the Saskatchewan Festival Inc. is an outdoor theatre festival on the South Saskatchewan River, producing Shakespeare plays and inspired works since 1985. SOTS at 41: Love & Tyranny will feature two Mainstage Productions: Much Ado About Nothing and Julius Caesar. These performances will feature a repertory cast of local actors. Supported by the leadership team, production crew, administrative and seasonal staff, and over 100 volunteers, the festival will run 40+ shows over six weeks, with approximately 10,000 patrons attending.

SOTS aims to engage the community through innovative productions inspired by Shakespeare’s legacy, guided by values such as collaboration, innovation, professionalism, equity, and reconciliation.
